Hudson have an exceptional opportunity for a driven, self-motivated and passionate Executive Assistant to work with a leading organisation in the mining industry. With locations in the United States, Brazil and Australia, our client has a truly international presence.

About the role:

The focus of this role is to assist the CEO, Company Secretary and Board of Directors in managing the entire running of the Melbourne office. In this standalone role, you will be required to work autonomously to drive and maintain office functionality. You will be able to make this role your own by using your previous skills and experience to implement best practice in terms of administration processes and procedures.

Your key responsibilities will include, but not be limited to, the following:

  • Extensive diary and email management
  • The implementation of new administrative processes and procedures
  • Coordinating international and domestic travel for the CEO and Board
  • Preparing, collating and finalizing Board Papers and Presentations
  • Assisting with Human Resources related tasks, such as preparing Employment Contracts, maintaining confidential files and reviewing policies and procedures
  • Managing all aspects of the day to day administration of the office, including managing relationships with contractors, stationary providers, building management and external clients.

About you:

This role is suited to a well-rounded Executive Assistant, who is not afraid to roll their sleeves up and do some grunt work when needed. You will be able to provide exceptionally efficient support to a newly appointed CEO and the Board of Directors, as well as be responsible for the implementation of new processes and procedures that you will create based on best practice. This is a unique opportunity where you can truly make the role your own.

You will also have the following skills and experience:

  • Demonstrated C - Suite executive level support is a must
  • Proven ability to handle multiple deadlines and conflicted priorities
  • Advanced proficiency in MS Office, including Word, Excel, PowerPoint and Outlook
  • Strong written and verbal communication skills
  • The confidence to work autonomously
  • Have a no job is too small attitude
  • Qualifications in Business Administration will be highly regarded
