Hudson is exclusively recruiting for our client based in the Education & Training sector. WAGPET is the sole provider of the federal funded Australian General Practice Training (AGPT) program in Western Australia. Their mission is to develop competent and confident General Practitioners able to practise in a variety of settings and especially in areas of medical service need.

The Executive Administrator is responsible for coordinating WAGPET's stakeholder management plan as well as providing confidential administrative support to the CEO, Executive team and WAGPET Board. Based at WAGPET's central office in Bentley with parking available on site, the hours of work will be 8.30am - 5pm.

Duties will include but are not limited to:

  • Provide professional and confidential administration and research support to the CEO
  • Plan, coordinate and schedule the CEO's busy schedule
  • Gatekeeper managing incoming calls, emails and correspondence
  • Provide high level secretarial support
  • Prepare Board meeting schedule, papers, agenda's and minute take at meetings
  • Coordinate and manage travel, accommodation, conference/meetings
  • Maintain stakeholder tracking tool regarding engagement activities
  • Assist with events, conferences, forums and key stakeholder visits to Perth
  • Manage Policies & Procedures register
  • Build strong connections and working relationships with stakeholders both internal and external

Skills and attributes required:

  • Proven experience in a senior administrative role supporting executives or senior managers
  • Stakeholder management and customer service experience
  • Confidence with the ability to clearly influence and support others
  • Excellent communication skills both written and verbal
  • A high level of accuracy, literacy and excellent writing skills
  • Ability to build trust and rapport with internal an external customers
  • Consistently work well with and actively help others in a team
  • The ability to work in a fast paced, high pressure environment
  • Prior experience in the health industry would be highly regarded
  • Intermediate to advanced MS office skills
  • An interest in marketing and events would be advantageous
